Automation consulting

Find the work worth automating.

We study how your business runs, then show you which tasks to automate first and what each one is worth. You decide with clarity, before you spend.

Best for: owners and executives who want clarity before they spend.

Why consult first

Automating the wrong thing is an expensive way to learn.

Every business has dozens of tasks that could be automated. Only a few are worth it right now. The difference is knowing which.

Risk 1
Building before understanding
Automations get built around the loudest problem, not the most valuable one, and the real bottleneck stays untouched.
Risk 2
Tools nobody uses
Software is bought and set up, but without a plan for people and process, the team quietly goes back to the old way.
Risk 3
No proof it worked
Without a baseline and clear measures, nobody can say what changed, what it saved or whether it was worth it.
Consulting turns guesses into a ranked, costed plan.
What you get

Six deliverables. One clear path.

You leave with documents your whole team can use, and a decision you can make with confidence.

01

A process map of how work moves today

We interview your team and trace how leads, orders, clients and tasks really move through your business, then draw it as a clear visual map with every hand-off, delay and manual step.

Includes
Interviews with you and the people doing the work
Your lead-to-delivery journey mapped end to end
Bottlenecks and manual steps highlighted
Your outcome
See your business as it really runs, perhaps for the first time.
02

A ranked list of automation opportunities

Every candidate task is scored on value, effort and risk, then ranked, so the highest-value work rises to the top and low-value ideas drop away.

Includes
Scoring on value, effort and risk
Estimated time and cost impact for each item
Quick wins separated from bigger bets
Your outcome
Know exactly what is worth automating, and what is not.
03

A plan for what to build and in what order

A sequenced roadmap that shows what to do now, next and later, what each stage needs and how the pieces connect to each other.

Includes
A phased roadmap: now, next and later
Requirements and dependencies for each stage
Clear scope you can budget against
Your outcome
A plan your team can follow, and a spend you can plan for.
04

Advice on tools, people and process

Which tools to keep, replace or connect, who should own each system, and how to change habits so the automation actually sticks.

Includes
A review of the tools you use today
Suggested owners and responsibilities
Guidance to help your team adopt the change
Your outcome
Automation your team actually adopts and keeps using.
05

Optional monthly advisory

Stay supported as you put the plan into action. We meet each month to review progress, answer questions and keep your roadmap current as the business changes.

Includes
A monthly review session
Progress checked against your plan and metrics
New opportunities spotted as you grow
Your outcome
An expert in your corner while you execute.
06

Success metrics and a measurement plan

Before anything is built, we define what success looks like for each automation and how to measure it, starting from a baseline today.

Includes
Clear measures for each automation
A baseline of how things perform now
A simple reporting rhythm for your team
Your outcome
Proof of return, not just a good feeling.

Where we look

Five parts of your business, one honest picture.

We look at the places where repeat work hides, and ask the questions that uncover what is really slowing you down.

Sales and lead handling
How fast does a new enquiry get a reply?
Where do leads go cold?
How are quotes and proposals produced?
Customer communication
Which questions do you answer again and again?
Where do messages get missed?
How do you collect reviews and feedback?
Operations and delivery
How is work handed from person to person?
What depends on one person remembering?
How do new clients get onboarded?
Admin and finance
How are invoices and payment reminders handled?
How are documents collected and filed?
Which forms get retyped into other systems?
Reporting and management
How do you know what is working?
Who builds the reports, and how long does it take?
Which numbers do you wish you had?

Your business has its own shape. We start from yours.

Is this for you?

Consulting is the right first step if...

01

You are busy, but not sure why.

You and your team are always working, yet a lot of it feels repetitive. You want to see exactly where the time goes.
02

You are about to spend.

You are weighing new tools, new hires or a big build, and want to be sure it is the right move before committing.
03

You tried automation and it stalled.

You bought tools or built automations that never quite landed. You want to understand why and fix it properly.
After the plan

Three ways to put it to work.

The plan is yours. Use it however suits you best.

Path 1
Build it with us.

We design and build the systems on your roadmap, then hand them over with training.

Done-for-you builds
Path 2
Get set up, then run it yourself.

We configure your account and train your team so you can start on your roadmap with confidence.

Onboarding and setup
Path 3
Keep an advisor in your corner.

Monthly advisory keeps your plan on track, checks results against your metrics and spots new opportunities.

Questions

Good to know before we talk.

How is consulting different from a done-for-you build?

Consulting works out what to automate and in what order. A build is when we actually create the systems. Many clients start with consulting so they spend on the right things first.

Do I have to build with you afterwards?

No. The report and roadmap are yours to keep, and you can act on them with us, with your own team, or with someone else.

Will you only recommend your own platform?

We recommend what fits your business. Where Butterflystack, powered by GoHighLevel, is the right tool we will say so, and where something else is a better answer we will say that too.

Who from my team needs to be involved?

You, plus the few people who do the day-to-day work we are looking at. We keep interviews short and work around their schedules.

What does consulting cost?

Book a strategy call and we will confirm the consulting scope, cost and any optional monthly advisory before work begins.
